Customer Service/Office Coordinator, $22/hour starting rate

Purpose

Responsible for maintaining customer accounts, resolving customer issues & inquiries, providing administrative support for the marketing, sales and driver teams, and general office organization and record-keeping.

Essential Duties

  • Maintaining the support@tomatomountain.com inbox in a timely and thorough manner
  • Answering phone calls to the support line and managing the voicemail inbox in a timely and thorough manner
  • Creating and maintaining customer profiles in CSAWare
  • Confirming customer orders and attending to billing tasks
  • Communicating with customers regarding delivery issues, delivery notes, product substitutions, product quality and general issues with the order fulfillment and delivery process
  • Maintaining the Special Circumstances spreadsheet to communicate with the warehouse team regarding ongoing or unresolved customer issues or items requiring special handling outside the system
  • Sharing customer feedback with the management team
  • Assisting the CSA Operations Manager and Sales & Marketing team in managing the online store, proofreading and reviewing copy and content and creating and maintaining products and box items
  • Managing the mailchimp audiences per established procedures
  • Acting as a dispatcher to the driving team Wednesday-Saturday while drivers are on their routes to manage delivery issues in real time and act as the primary contact for the drivers 
  • Assisting the Driver Lead and CSA Operations Manager with OptimoRoute, balancing routes, sending routes to drivers and linking routes to driver apps
  • Maintaining records for the vehicle fleet, including but not limited to maintenance schedules and issues, IPASS transponders and payment, insurance, AAA membership.

Other Duties

  • Assisting with troubleshooting system issues
  • Assisting the CSA Operations Manager with maintaining the office area, office supplies and stocking and organizing products in the warehouse storage areas
  • Assisting the CSA Operations Manager with data entry in the inventory control spreadsheets and logs
  • Assisting the warehouse team on the picking/packing line on occasion
  • Assisting with projects and other tasks as assigned

Schedule & benefits

Hours/Location: 32+ hours/week; Wednesday-Friday, 8am-4pm at the Tomato Mountain warehouse in Niles, IL; Saturday 7am-3pm from home (occasional need to work from the warehouse); Sunday or Monday approximately 2-4 hours of work can be completed on a flexible schedule. Fewer hours during the four weeks the program pauses from mid-December to mid-January each year.
